Wufoo is a web-based form builder that you can use to create all sorts of forms, like contact forms, online payments, online surveys, and event registrations. Whether your customers are providing feedback or placing orders, those on-line forms are precious. IBM App Connect ensures that your team can process submitted forms as quickly as possible by updating your systems automatically as soon as a form is submitted. It also works the other way around: App Connect can complete and submit forms automatically in response to updates in your other apps.
A typical business scenario
Say you’ve just launched a new business. You want to attract lots of customers, but you also want to make sure that you’re giving them the best service possible. It would be great to know what they want, to keep in touch with them so that your marketing department can make them enticing offers, to get their feedback on your service, and to respond quickly to their queries. But there’s a lot to do to launch your business, and you don’t want to spend loads of time designing and coding forms. So you’ve used Wufoo to create a series of forms.
You have a market research survey to find out what customers want; an order form so that they can buy your products securely; a support request form for them to get help from your service department; and a satisfaction survey to tell you how well you’re doing.
But as your customers start to submit forms, the appropriate departments need to process that information. Your marketing department has to add potential customers to their marketing app and to their mailing lists. Your sales department has to add contacts and leads to their CRM system to give personal service to the customers. And your service department has to update their helpdesk app to respond as quickly as possible to unhappy customers. These manual tasks are tedious, time-consuming, and error-prone.
How App Connect can help
Use App Connect to connect Wufoo to your other apps. So whenever someone submits a form in Wufoo, a new lead is created automatically in your CRM system, for example, or a new subscriber is added to a mailing list. Perhaps an instant message is posted to your sales team, or a task is created automatically in your task management app to prompt your service team to investigate. Maybe you want Wufoo to be at the other end of your flow, so that App Connect can fill in a form for you when something changes in another app. Perhaps a customer opens a ticket in your helpdesk app and you want to log the info in a form for your records.
What should I consider first?
Before App Connect can connect to Wufoo, you’ll need the following information from your Wufoo account:
- Your Wufoo API key, which you can find from the Wufoo Form Manager: click More next to any form, then select API information. The API key is the same for all your forms. Copy the 16-digit API key and paste it into App Connect.
- The subdomain for your Wufoo account, which you can find in the Wufoo Account Manager: click Account, then select My Account. You just need the bit between // and .wufoo.com; so if your account has http://subdomainname.wufoo.com, just copy subdomainname to App Connect.
You can see a full list of the trigger events and the actions that are available with Wufoo on the Applications tab on the App Connect Catalog page. Before you add some of the Wufoo events or actions to your flow, make sure you have the following resources:
- The “New form entry” event triggers your flow every time someone submits a completed Wufoo form. So to use this event in a flow, you must have created a form in Wufoo and made it public; you’ll need to specify the name of this form when you add the event to your flow.
- The “Create form entry” action completes and submits a Wufoo form by using data from the preceding apps in your flow. So to use this action in a flow, you must have created a form in Wufoo and made it public so that App Connect can fill it in. You’ll need to specify the name of this form when you add the action to your flow.
